The Portfolio records consist of five types of records containing account investment information, including account transactions and valuations.  All portfolio records are linked to a particular account by the account number in the first field of the record.   Portfolio records are the basis for most client reports, including investment performance reports.  It is therefore imperative that you verify the correctness of these records, even if you have imported the data, prior to running reports.

 

Source of Data - Portfolio transaction records are preferably downloaded/imported from custodian data sources, but can also be manually entered.  Users of Pro and Enterprise versions will typically import transactions downloaded from their custodian or broker/dealer on a daily or weekly basis.  These transactions are imported into the transaction blotter records (under the "Accounts" tab) for review, and then transferred to the portfolios (see Institutional Interfaces for more details on this process).  In a multi-user installation, this download/import process may be delegated to a "data administrator".  Users of lower level versions of the software may be able to import transaction data downloaded or saved from their brokers website using either a "generic import" or by using a Retail OFX download/import (see Generic Imports and Retail Interfaces for more detail).

 

Portfolio valuation and position records are computed from transaction records, applying prices obtained from the price history records, and thus typically require no user input other than specification of the desired valuation dates, and occasional manual entry of prices for non-quoted securities. Portfolio securities records require one-time manual data entry and occasional maintenance, but often are not required at all.

 

Fund Accounting - These records are restricted to the highest program levels and are conditional upon the licensee opting for this capability.  These are discussed in more detail in the appendix chapter on Fund Accounting.
